How dotint.careers processes account, profile, matching, billing, notification, and support data.

This Privacy Policy explains how Spherical Origins GmbH & Co. KG processes personal data when you use dotint.careers (the "Service").

2. What the Service does
The Service helps users discover career opportunities and prepare application materials. It stores profile and P.11 information, compares it with vacancies, provides matching explanations and drafting assistance, and may send messages selected by the user.
We are not a hiring organisation and do not make employment decisions or submit applications on a user's behalf.
3. Data we process
Depending on how you use the Service, we process:
- account and authentication data, including name, email address, identifiers, access status and sign-in/session information;
- profile, CV and P.11 data, including employment, education, skills, languages, preferences and other information you enter or upload;
- vacancy, match and application-assistance data, including scores, explanations, drafts, review requests and your application-status choices;
- communication preferences and records of notifications or platform-news emails sent or unsubscribed from;
- billing and payment-related metadata, such as selected plan, subscription status, Stripe customer/payment references and invoice-related information;
- support messages and, when an enabled support feature is used, your signed-in name and email address made available within that support interaction; and
- security and operational records, such as requests, error information, administrative activity and email-delivery records.
4. Purposes and legal bases
We process personal data for these purposes under the GDPR:

Where processing is based on legitimate interests, you may object as described below. We will assess your request against compelling legitimate grounds and legal requirements.
We may publish anonymous aggregate statistics, such as average or median match counts or aggregate rates for starting application-assistance workflows. Preparing a report involves processing activity data until the resulting statistics are rendered anonymous. Published reports do not identify individual users, and we do not describe application-assistance activity as an application submitted to an employer. We suppress or combine small or narrow breakdowns where they could disclose an individual's activity, and we do not use special-category data or sensitive free-text content for published statistics.
5. Matching and artificial-intelligence assistance
We use profile information and vacancy information to identify and explain potential matches and to prepare content you request, such as CV guidance or application drafts. Some of this processing uses OpenAI services.
Scores and generated text are advisory outputs for you. They do not constitute an employer decision, determine your formal eligibility, or submit an application. You decide whether to use any suggestion and whether to apply.
6. Do not submit sensitive personal data
We do not seek and do not need special-category personal data for matching or application assistance. Please do not include information revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic or biometric identification data, health, sex life or sexual orientation in CV uploads, P.11 forms or free-text fields.
In particular, do not enter trade union membership in fields for professional societies, memberships or other relevant facts. If you inadvertently provided such information, edit or remove it where the Service permits, or contact support@dotint.careers to request removal.
Because free text and uploaded documents may contain unexpected information, we cannot promise to identify sensitive information before it is stored or processed.
7. Providers and recipients
We use providers only as needed to operate the Service:

An enabled in-product support feature is part of our own support service. If you use it while signed in, your name and email address may be attached to the support interaction so that we can answer you.
We may also disclose personal data where required by law or necessary to establish, exercise or defend legal claims.
8. Transfers outside the EEA
Some providers may process personal data outside the European Economic Area. For our standard provider arrangements:
- Clerk states that it relies on the EU-US Data Privacy Framework for covered transfers to its certified US entity and incorporates the European Commission's Standard Contractual Clauses where that framework cannot be relied on.
- OpenAI's Data Processing Addendum for API/business services provides for applicable adequacy decisions or the European Commission's Standard Contractual Clauses for international transfers.
- AWS states that its GDPR Data Processing Addendum includes the European Commission's Standard Contractual Clauses, which apply automatically for relevant transfers to non-adequate third countries.
- Stripe states that its Data Processing Agreement includes its Data Transfers Addendum, relying on its EU-US Data Privacy Framework certification where applicable and incorporating the European Commission's Standard Contractual Clauses.

9. Platform-news email and other messages
The weekly dotint.careers platform-news digest is optional. We send it only where you have actively selected the unchecked subscription option or later opted in through your preferences. You can withdraw that consent at any time through your preferences or the unsubscribe link in each platform-news email, without affecting access to the Service or functional vacancy/account messages.
10. Retention and deletion
We keep account data while your account is active and as necessary to provide the Service. You may request account deletion at support@dotint.careers.
Accounts that have been inactive for one year are deleted after we give 30 days' advance notice. If you use the account during the notice period, it is not deleted as inactive.
Limited information may be retained longer where necessary for billing and accounting obligations, resolving disputes, preventing fraud, maintaining security records, or establishing, exercising or defending legal claims. Backups, logs and provider systems may retain limited personal data for their applicable retention periods before deletion or overwriting.
We may retain and publish anonymous aggregate statistical reports after account data is deleted, where individuals are no longer identifiable from those reports.
11. Your rights
Subject to the applicable conditions, you may ask us for:
- access to and a copy of your personal data;
- correction of inaccurate data;
- deletion of personal data;
- restriction of processing;
- data portability;
- objection to processing based on legitimate interests; and
- withdrawal of consent at any time, without affecting processing carried out before withdrawal.
To make a request, contact support@dotint.careers. You also have the right to lodge a complaint with a supervisory authority, in particular the authority where you live or work or where you believe a breach occurred. Our competent supervisory authority is the State Commissioner for Data Protection and Freedom of Information North Rhine-Westphalia.
12. Cookies and technical operation
We use session and security mechanisms required for authentication and operation of the Service. If we introduce non-essential browser tracking or analytics requiring consent, we will provide the necessary information and choice before using it.
13. Changes and contact
We may update this Privacy Policy as the Service develops or legal requirements change. We will identify the current version and date on this page and give additional notice where required.
